Deliverability Starts With List Quality, Not Magic Words

Improve email deliverability by checking permission, authentication, complaint signals, unsubscribes, bounces, and relevance before blaming a subject line.

When email performance falls, teams sometimes hunt for a “spam word” to delete. That can distract from the larger problems: people did not ask for the mail, the sender is not authenticated correctly, or the message is irrelevant. Inbox placement is not something a single copy trick guarantees.

Review the sending foundation

Ask how each address joined the list and what that person expected to receive. Remove or suppress addresses that bounced permanently according to your provider’s guidance. Watch complaints and unsubscribes by segment; a sudden change is feedback about relevance or frequency, not just a technical number. Never use purchased lists as a shortcut to audience growth. Check the technical setup with the person who manages your domain or email service provider. Google’s sender guidelines and Yahoo’s sender requirements describe authentication, spam-rate expectations, and easy unsubscribe for relevant senders. Requirements vary by sending volume and provider, and they change, so use the current provider pages rather than an old checklist. A small team should not pretend it can fix DNS by changing a headline.

Make leaving easy

A visible opt-out is good for trust and required for many commercial messages. The FTC’s U.S. CAN-SPAM guide explains the legal basics, including honest headers and subject lines, a postal address, an opt-out method, and timely honoring of requests. Check other jurisdictions where you send. A preference center can be useful, but it must not make a full opt-out harder.

Diagnose in the right order

If results deteriorate, compare: Was the audience different? Did sending volume jump? Were complaints or bounces higher? Did the content match the signup promise? Did the landing page fail? Are authenticated mail and unsubscribe functioning? Only after those checks should you test copy as the likely cause.
