Keep appointment requests, proposed times, and confirmed bookings separate so your calendar does not promise what you cannot deliver.

“Friday after lunch” is not a booking. It is a preference with missing details. Turning it into a confirmed slot can commit you to the wrong date, duration, or location. An appointment workflow should make those gaps easier to resolve—not hide them behind a calendar invitation.
Use three distinct states Requested: the customer has asked for a time. Proposed: you have offered a specific option, subject to the stated confirmation process. Confirmed: the required checks and agreement are complete. Define who can move an item into Confirmed with the approval guide. A calendar entry alone does not establish customer agreement.
Collect the details that affect the slot Ask for service, location or service area, preferred dates, contact method, and time zone where relevant. If duration depends on an assessment, mark it unknown. Use the quote-preparation checklist when scope affects how much time the work requires. Keep the intake proportional to the task; the FTC’s privacy guidance is a useful reference. Store the original wording in your tracker, alongside the clarified details.
Turn vague wording into one useful question Fictional request: “Can you repair the cabinet next Friday after lunch?” Useful internal note: “Date and time unconfirmed. Need location and repair details.” Useful reply draft: “Which date do you mean by next Friday, and what time range works for you? Please also confirm the service location so we can check availability.” That moves the job forward without inventing 1 p.m. or promising a visit.
Check the whole booking cycle Test a new request, reschedule, cancellation, and two requests for the same slot. Include a failure to read availability. Keep a booking reference so changes target the existing event; consult Zapier’s duplicate-data guide when investigating repeated entries. For Google Calendar, review the appointment-schedule setup instructions and test your configuration. Do not assume every integration handles conflicts the same way.
Close the loop Rescheduling should update the record and cancel obsolete reminders. The person delivering the service needs a clear handoff, not just an event they may never have seen. If a booking is part of onboarding, reflect its actual state in the onboarding checklist. Before a pilot, run the pre-launch tests. Your finish line is simple: anyone reading the record can tell what was requested, what was agreed, and what still needs a decision.
